Job Description:

The Administrative Assistant will support MNN’s day-to-day operations, providing essential administrative services to ensure smooth program delivery and efficient internal processes. Working closely with the accountant, operations staff, and the Program Coordinator, the student will assist with managing emails, scheduling appointments, maintaining files, and helping plan and execute youth programs and summer activities. They will also prepare promotional materials, maintain participant databases, and assist with logistical arrangements for community events.

Key Responsibilities:

  • Manage and organize incoming emails; respond to general inquiries and ensure timely communication with stakeholders.
  • Assist in scheduling meetings, appointments, and events, including coordinating calendars and sending reminders.
  • Support the accountant and operations staff with basic data entry, filing, and record-keeping.
  • Help the Programs Coordinator plan and execute youth-centered events and summer activities.
  • Monitor office supplies and assist with basic administrative tasks to keep the workspace efficient and organized.

Job Activities:

  • Sorting and categorizing incoming emails and forwarding messages to the correct team members.
  • Updating and sharing a weekly calendar of events and staff meetings.
  • Preparing digital flyers, newsletters, or social media posts under the guidance of the Programs Coordinator.
  • Logging participant information into a shared database and ensuring data accuracy.
  • Contacting vendors or community partners to confirm event details and supply orders.
  • Scanning documents and organizing digital files on cloud storage platforms.

Required Skills:

  • Organizational proficiency to manage multiple tasks and maintain orderly records.
  • Effective time management to prioritize tasks and meet deadlines.
  • Strong verbal and written English communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with cloud storage platforms.
  • Ability to work collaboratively with various staff members.
  • Attention to detail in data entry, scheduling, and maintaining participant databases.
  • Previous experience in a similar administrative role is considered an asset.
